Supplier Terms & Conditions

PURCHASE ORDER

Expert Coatings & Graphics Quality Terms and Conditions

Supplier must abide by the following conditions as specified by purchase order or terms and conditions specified herein:

  1. Requirements for approval of product, procedures, processes and equipment (i.e. identity, description, part numbers, quantity, delivery schedule, service parameters)
  2. Identification of technical data (i.e. standards, specifications, drawings, process requirements, instructions)
  3. Competency requirements and person qualification (i.e. skills, training, assessment, evaluation, levels of qualification, periodic re-assessment, maintained competence)
  4. Interactions (i.e. engagement, communication, reviews, meetings, exchange of documented information, notices, directives, feedback)
  5. Control and monitoring of performance (i.e. data capture, measures, targets, KPIs, score cards, dashboards, ratings, surveys)
  6. Verification or validation activities at the external provider premises including the customer (i.e. intent for source inspection, oversight, witness, sampling, 3rd party verification, 2nd party audits, surveillance, process monitoring, product audits, functional testing, performance testing)
  7. Control of design and development (i.e. requirements, statement of work, planning, controls (review, verification, validation etc.), delegations, maintained/retained documented information, design and development changes)
  8. Special requirements, critical items, key characteristics (i.e. specifications, performance criteria, risk management, identification, traceability, enhanced production/process controls, monitoring and measurement arrangements, fixed process approvals, product qualification, change control)
  9. Test, inspection and verification activities (i.e. requirements, instructions, acceptance criteria, equipment, production process verification, retained documented information)
  10. Use of statistical techniques for product acceptance, including acceptance of instructions (i.e. application of: statistical process control (SPC), process monitoring, sampling activity and Expert Coatings & Graphics acceptance of external provider arrangements (review, approval, buy off etc.))
  11. The need to:
    1. Implement a QMS (i.e. statement of requirements that can include alignment of the external providers QMS to recognized external standard (s), requirement to maintain relevant approvals/certification etc.)
    2. Use customer designated, or approved external providers (i.e. statement of requirements relating to external provision of processes (including special processes), products and services from approved suppliers, including those flowed down by Expert Coatings & Graphics’ customer where applicable)
    3. Notify nonconforming processes, products and services and obtain approval for their disposition (i.e. statement of requirements relating the control of nonconforming outputs that can include process requirements, control arrangements, required documented information, reporting method, responsibilities and authorities (including delegation if applicable), implementing disposition instructions, nonconformity marking (e.g. concession numbers if applicable) etc.)
    4. Prevent the use of counterfeit parts (i.e. statement of requirements that can include the need to conduct a risk assessment, use of approved external providers, verification and test methodologies, preventing re-entry into the supply chain (detection, segregation, quarantine, containment, disposition etc.), reporting occurrences, managing obsolescence etc.)
    5. Notify changes to processes, products, services, including change of source/location (i.e. statement relating to what constitutes a change (including changes to source and method) and the requirements for control, reporting, obtaining approval, acting upon Expert Coatings & Graphics’ response and maintaining process/product/service configuration as applicable)
    6. Flow down requirements (i.e. specific requirements required by Expert Coatings & Graphics, or Expert Coatings & Graphics’ customer (as required) such as maintaining approvals, use of approved external sub-tier providers, verification requirements, notification requirements, reporting requirements etc.)
    7. Provide test specimens for design approval, inspection/verification, investigation or auditing (i.e. statement of requirement for the provision of test specimens/pieces/artifacts, including type, identification, configuration, supporting documented information, release conditions)
    8. Retain documented information, including retention periods and disposition requirements (i.e. statement of requirements relating to the control of records that can include type, media, back up, archive, storage, protection, preservation, access, retrieval, retention periods, disposal, return to Expert Coatings & Graphics, security, data protection (electronic documented information) etc.)
  12. Right of access (i.e. acceptance of Expert Coatings & Graphics’ right of access to the external providers premises to attend meetings, conduct performance reviews, review work in progress, conduct investigations, resolve problems, conduct second party audits, support improvement activity, delivery of training)
  13. Ensuring persons are aware of:
    1. Their contribution to product/service conformity (i.e. individual accountability, understanding requirements, compliance to process, the need to control changes, reporting of nonconformance)
    2. Their contribution to product safety (i.e. individual accountability, compliance to process, attention to detail, knowledge of product end usage, potential impact relating to product issues)
    3. The importance of ethical behavior (i.e. code of conduct, management/employee working relationships, fair treatment, employee work recognition, confidential reporting mechanisms, protecting anonymity, no blame culture)

If Supplier requires any exceptions to the above terms and conditions, Expert Coatings & Graphics President must be notified immediately.
